At North Glass, we provide expert glass pool fence installations, creating safe, stylish, and compliant outdoor spaces. Building a new home, upgrading the pool area, or replacing an existing fence, our team delivers custom glass pool fencing solutions designed to suit the style, layout, and safety requirements of their property. Please note that we do not install customer-supplied glass pool fencing systems or glass panels. As we are unable to verify the quality, specifications, engineering requirements, or compliance of products sourced from other suppliers, we cannot provide the same level of workmanship warranty and product guarantee that we offer on our own supplied and installed pool fencing systems. By supplying and installing our own pool fencing systems, we can ensure that all components comply with current pool safety standards, are suitable for the intended application, and are installed in accordance with manufacturer specifications and relevant building regulations. This allows us to confidently stand behind our work and provide full warranty support. If they have already purchased a glass pool fencing system, we recommend contacting a qualified builder or fencing contractor who may be able to assist with the installation.

Why we ask: The project stage determines whether we can provide an estimate from plans, need to schedule a future measure, or can arrange a site visit immediately. 2. Is there an existing PS1 (Producer Statement for Design)? Why we ask: The PS1 tells us whether the balustrade has already been engineered and what compliance requirements have been specified. 4. Is there any Building Consent Information? BC number Lot & DP number Why we ask: This helps identify the project and allows us to verify drawings and consent documentation if required. 5. Homeowner details available? Name Project address Who engaged us Why we ask: Knowing who our client is ensures all communication and quotations are sent to the correct person. 6. Windzone (if known) Medium / High / Very High / Extra High / Site Specific Design Why we need to know: Wind loading affects the engineering design, glass thickness, fixing method and overall cost. 7. Proposed System (if known) - Let them know we have a showroom with options Channel system / Mini Posts / Discs Face fixed / Base Fix Timber / Concrete Substrate Why we ask: Different systems require different hardware, engineering and installation methods. 8. Approximately how many lineal metres? Why we ask: This helps estimate materials, labour and overall project cost.

There are many different systems for a pool fence estimate, based on the customers layout and/or PS1, use the "Pool Fence- Generic" quotation template. This information needs to be entered correctly based on the information the customer provided, the items highlighted need to be updated accordingly:

Estimate item Template

Our estimate process begins with a minimum site service fee, which includes:Travel to site.Up to 30 minutes of labour to assess the customers requirements.Site measurement to identify the materials required for the job.Preparation of material orders or a detailed quotation.Additional labour beyond the initial 30 minutes will be charged at our hourly rate, per hour. Any materials used during the visit will be charged separately.
Building the labour and materials to carry out the works: Based on the information the customer provided, check the specific PS1 for the type of design chosen. This is then drawn up in Smart Glazier Price can be built in Smart Glazier too
Once the estimate has been prepared, review estimate to ensure all description and costs are entered in accurately. Approve and email the estimate to the customer using the "Quote needing site measure after acceptance" email template or the "Quote with 50% Deposit" email template depending on who the customer is and the terms applied. Change the tradify job status to "Quoted" Once the estimate is accepted by a generic customer (not a builder), create a site service invoice. Please check you have coded the line item on the invoice to the right account code (51140 - Pool Fencing (51140) otherwise this defaults to account code: 42000 - Materials (42000). Email using the "Invoice - Service Fee" email template. Change the tradify job status to "Awaiting deposit" - This fee must be paid in full before our team attends the site to carry out the inspection or works. Upon receipt of payment, contact customer and shedule the site measure as soon as possible. Email customer the booking confirmation using "Booking Confirmation" email template. Change the tradify job status to "Scheduled." If the customer is on the 50% terms, we still need their estimate acceptance. No deposit is required until after the site measure.

What happens after the site measure?
Following the site measure, we review all measurements and project requirements. If any changes are required, the estimate needs to be revised accordingly (create a Quote#-2 from the orginal estimate). Reset the orginal estimate to a draft, approve the draft and then select the revise quote button. If a deposit has been paid (generic customer) add a new "Misc" item line to the revised quote and the value should equal -$150. This reflects the deposit for the site service fee that has been paid (this is not applicable to builders):
Preview the revised quote and then approve quotation. Email using the "Revised quote with 50% Deposit" email template. Customer acceptance is crucial as we need the customers approval before proceeding. This creates transparency with the customer. Change the tradify job status to "Revised quote awaiting acceptance".

Deposit paid

Once the revised quote has been accepted, a 50% deposit invoice is issued and emailed to the customer using the "Deposit Invoice" email template. Please check you have coded the line item on the invoice to the right account code (51140 - Pool Fencing (51140) otherwise this defaults to account code: 42000 - Materials (42000). Change tradify job status to "Awaiting deposit". Upon receipt of payment, materials are ordered. Notify the customer using the "Deposit Received - Order will now be placed" email template. This informs the customer that we have received their payment and can now place the order with our supplier. Change the tradify job status to "To be ordered" or proceed to place the order with the applicable supplier.

order / Receipt materials

Open the quote and select the line item to order and select "Copy to Purchase Order." Enter the supplier for the item you want to order eg. Viridian - Highbrook for Glass, Opus/Platinum for hardware etc. Check you have the right quantities and attached any glass orders before emailing the supplier using the "Purchase Order" email template. Change the job status to "waiting on parts." When the materials arrive, receipt that they have arrived and change the job status to "glass to be checked." Schedule the job to a glazier to ensure the materials are inspected to ensure they meet our quality standards. Once the materials have been checked, change the job status to "To be booked in".

Schedule installation

Call the customer and schedule a suitable time for the installation. Change the job status to "Scheduled." Email the customer the booking confirmation using the "Booking Confirmation Email" template. Update the details on this template accordingly before sending.
Our installation team completes the work as scheduled, ensuring all glazing is installed to the required standard. Post installation the glazier will upload photos of the completed job in the notes. He then changes the job status to "To Invoice."

Final invoice

Upon completion of the project, check that there are no additional works that have been carried out and the time is consistant with the quoted works. The remaining balance is invoiced from the quote. Please check you have coded the line item on the invoice to the right account code (51140 - Pool Fencing (51140) otherwise this defaults to account code: 42000 - Materials (42000). Please check that the job has been back costed which includes bills from PO's and sometimes items from the quote can be pulled through as costs. Change tradify job status to "Post Invoice Email". Final payment is due on completion.

producer statement (ps3)

A PS3 (Producer Statement – Construction) is provided to certify that the glass balustrade has been installed in accordance with the approved building consent documentation, the manufacturer's installation requirements, and the requirements of the New Zealand Building Code.
The PS3 confirms that the installation has been carried out by a suitably qualified installer and that the completed balustrade complies with the specified structural, safety, and performance requirements. This statement assists the council in verifying compliance and supports the issuing of the Code Compliance Certificate (CCC). We can create a PS3 in jotform using the "Producer Statement PS3" form. Enter the owners details as per the BC form, add photos as per the install and select the clauses applicable to the install. Download and email to the customer or the builder project managing the site using the "Emails - PS3 Producer Statement" email template .

Please send an email using the standard "Review Email" or "Review Email - Giveaway" email template during promotional times. This allows us to gather valuable feedback, measure customer satisfaction, and build trust with future customers, while keeping post-sale communication minimal and non-intrusive. Change the job status to "Completed."
