Which caravan seal requires replacement.2. Whether the correct seal can be identified remotely or if a site measure is required.3. What materials are required.4. Whether replacement parts need to be ordered or we can use a stock seal. Using the "Caravan Rubber Seal" job template, always work through the following checklist before booking a site measure.
1. Ask which seal needs replacing?Ask the customer to describe where the problem is: Opening window sash (glass/frame) Fixed window weather seal Door seal Why we ask: There are several different sealing systems used on caravans. Identifying which seal has failed determines the repair method, materials required, and whether replacement seals need to be sourced before the job.
2. What is the make and model of the caravan?
Why we ask: Different caravan manufacturers use different window systems and seals. Knowing the make helps us identify the correct glazing method and source replacement materials if required.
3. Can you send photos?Request photos of: The complete window Close-up of the damaged seal Corner of the window Inside and outside of the window Any visible damage Profile of the seal if it has been removed Why we ask: Many caravan seals look similar. Photos are often the quickest way to identify the correct seal without arranging an inspection to prepare an estimate.
4. What is the approximate size of the windows? (Just the size of the glass they can see will be fine)
Why we ask: Size allows us to prepare an estimate based on the lineal (perimeter) measurement
5. Can the caravan be brought to our workshop or does the repair need to be done on site?
Why we ask: Workshop repairs are often faster and make seal identification much easier.
Always note any useful information such as:Shared driveways.Rear units.Rural properties.Gated access.Hidden house numbers.

This information needs to be entered correctly based on the information the customer provided, the items highlighted need to be updated accordingly: Estimate only: Select from this list which is applicable: To replace the weather seals on the (front / rear) screen of a caravan To replace the weather seals on (quantity) fixed windows of a caravanTo replace the wedge rubber on (quantity) opening windows with UV stable black silicone.  This is less likely to shrink over time.

Estimate item Template

Our estimate process begins with a minimum site service fee, which includes (this can be optional):Travel to site.Up to 30 minutes of labour to assess the customers requirements.Site measurement to identify the materials required for the job.Preparation of material orders or a detailed quotation.Additional labour beyond the initial 30 minutes will be charged at our hourly rate, per hour. Any materials used during the visit will be charged separately.
Building the labour and materials to carry out the works: Based on the information the customer provided, select the applicable seal required Tips: A. Common seal types: usually AW1 Seal with AW10 key - quantity will be the same B. Opening window glass will be installed into the frame using black UV stable silicone C. If a unique seal is required, we need to source this by checking basisnz.co.nz and quote accordingly with prices listed on their website D. Labour charge: usually allow 1 hour per fixed/opening window, 3 hours for front/rear screen E. Check if the customer is able to bring their caravan in to us to measure/quote or identify the right seal. They can alos bring the caravan in for us to carry out the works.
Once the estimate has been prepared, review each line item to ensure all calculations are accurate and remove any items that are not required for this estimate. Approve and email the estimate to the customer using the "Quote needing site measure after acceptance" email template if site measure is applicable. Change the tradify job status to "Quoted" Once the estimate is accepted, create a site service invoice, if applicable. Please check you have coded the line item on the invoice to the right account code (46500 - Aluminium Maintenance (46500) otherwise this defaults to account code: 42000 - Materials (42000). Email using the "Invoice - Service Fee" email template. Change the tradify job status to "Awaiting deposit" - This fee must be paid in full before our team attends the site to carry out the inspection or works. Upon receipt of payment, contact customer and shedule the site measure as soon as possible. Email customer the booking confirmation using "Booking Confirmation" email template. Change the tradify job status to "Scheduled."

What happens after the site measure?
Following the site measure, we review all measurements and project requirements. If any changes are required, the estimate needs to be revised accordingly (create a Quote#-2 from the orginal estimate). Reset the orginal estimate to a draft, approve the draft and then select the revise quote button. Make the following changes to the estimate to reflect the actual site measure: To replace the weather seals on the (selected panels) of a caravan (Add the total lineal meters here)

Add a new "Misc" item line if applicable to the revised quote and the value should equal -$150. This reflects the deposit for the site service fee that has been paid:
Preview the revised quote and then approve quotation. Email using the "Revised quote with 50% Deposit" email template. Customer acceptance is crucial as we need the customers approval before proceeding. This creates transparency with the customer. Change the tradify job status to "Revised quote awaiting acceptance".

Deposit paid

Once the revised quote has been accepted, a 50% deposit invoice is issued and emailed to the customer using the "Deposit Invoice" email template. Please check you have coded the line item on the invoice to the right account code (46500 - Aluminium Maintenance (46500) otherwise this defaults to account code: 42000 - Materials (42000). Change tradify job status to "Awaiting deposit". Upon receipt of payment, materials are ordered. Notify the customer using the "Deposit Received - Order will now be placed" email template. This informs the customer that we have received their payment and can now place the order with our supplier. Change the tradify job status to "To be ordered" or proceed to place the order with the applicable supplier. If we can do this stock seals, skip the ordering and schedule the instalaltion.

order / Receipt materials

Open the quote and select the line item to order and select "Copy to Purchase Order." Enter the supplier for the item you want to order eg. Basis for caravan seals etc. These are ordered directly from Basis. You do not need to email the supplier our PO as we prder firect off their website. Change the job status to "waiting on parts." When the materials arrive, receipt that they have arrived and change the job status to "glass to be checked." Schedule the job to a glazier to ensure the materials are inspected to ensure they meet our quality standards. Once the materials have been checked, change the job status to "To be booked in".

Schedule installation

Call the customer and schedule a suitable time for the installation. Change the job status to "Scheduled." Email the customer the booking confirmation using the "Booking Confirmation Email" template. Update the details on this template accordingly before sending.
Our installation team completes the work as scheduled, ensuring all glazing is installed to the required standard. Post installation the glazier will upload photos of the completed job in the notes. He then changes the job status to "To Invoice."

Final invoice

Upon completion of the project, check that there are no additional works that have been carried out and the time is consistant with the quoted works. The remaining balance is invoiced from the quote. Please check you have coded the line item on the invoice to the right account code (46500 - Aluminium Maintenance (46500) otherwise this defaults to account code: 42000 - Materials (42000). Please check that the job has been back costed which includes bills from PO's and sometimes items from the quote can be pulled through as costs. Change tradify job status to "Post Invoice Email". Final payment is due on completion.
